Journeys Corporate Booking Terms & Conditions
Effective Date: 01 April 2025
By booking corporate travel services through Journeys Corporate, you acknowledge and agree to the following terms and conditions:
1. Bookings and Payment
- All bookings require a non-refundable deposit, the amount of which will be advised based on the service selected.
- Full payment must be received by the due date specified on the invoice. Failure to pay may result in cancellation and applicable fees.
- Accepted payment methods include EFT, credit card, or other approved options. Any banking or transaction fees are the responsibility of the client.
- A booking is only confirmed once payment is received and a confirmation has been issued by Journeys Corporate.
2. Changes and Cancellations
- Amendments are subject to availability and may incur supplier and administrative charges.
- Cancellations must be made in writing. Penalties apply based on the timing and third-party supplier policies.
- No refunds are issued for unused services, missed departures, or voluntary changes after departure.
- Refunds, where applicable, may take up to 12 weeks to process based on supplier timelines.
3. Travel Documentation
- It is the traveller’s responsibility to ensure possession of all valid travel documentation, including passports, visas, and vaccination certificates.
- Journeys Corporate is not liable for denied entry, refused boarding, or additional costs resulting from insufficient documentation or non-compliance with destination requirements.
4. Pricing and Surcharges
- Prices are quoted in ZAR (or as advised) and are subject to change due to exchange rate fluctuations, supplier cost increases, or fuel/airport surcharges.
- Additional taxes, levies, or fees may apply and will be communicated at the time of booking.
- Journeys Corporate reserves the right to adjust pricing in the event of unforeseen changes.
5. Liability and Responsibilities
- Journeys Corporate acts as a facilitator between clients and third-party providers such as airlines and hotels. We are not liable for their acts, delays, or omissions.
- We are not responsible for loss, injury, damage, or additional expenses caused by force majeure, including strikes, natural disasters, epidemics, or political unrest.
- Clients agree to indemnify Journeys Corporate against claims arising from the use of our services.
6. Travel Insurance
- Comprehensive travel insurance is strongly advised. This includes cover for cancellations, delays, lost luggage, and medical emergencies.
- Clients are responsible for understanding their policy coverage. Assistance with insurance options is available upon request.
7. Health and Safety
- Travellers must ensure they meet the health requirements of their destination(s).
- Journeys Corporate is not responsible for any health-related issues encountered before, during, or after travel.
- Medical advice, including for vaccinations, should be sought prior to departure.
8. Special Requests
- Any special requirements (e.g. dietary, mobility, seating) must be advised at the time of booking. While we endeavour to accommodate them, fulfilment is not guaranteed.
9. Complaints and Disputes
- Any service issues must be reported to Journeys Corporate immediately to allow resolution.
- Formal complaints must be submitted in writing within 14 days of trip completion.
- These terms are governed by the laws of South Africa. Legal proceedings must be filed within the jurisdiction of South African courts.
10. Force Majeure
- Journeys Corporate is not liable for failure to fulfil obligations due to circumstances beyond our control (e.g. natural disasters, pandemics, strikes).
- In such cases, we will endeavour to assist with alternative arrangements, but refunds cannot be guaranteed.
11. Data Protection and Privacy
- By booking with Journeys Corporate, clients consent to the collection and processing of personal and business information for the purpose of facilitating travel services.
- We comply with the Protection of Personal Information Act (POPIA) and international data protection standards.
- Data will not be shared for marketing purposes without explicit consent.
12. Eligibility
- Bookings must be made by individuals over the age of 18 with the legal authority to do so on behalf of themselves or their organisation.
13. Group Bookings
- The group organiser is responsible for sharing booking details and ensuring all payments, documents, and travel requirements are met.
- Journeys Corporate is not responsible for internal group disputes or last-minute changes.
- Any amendments must be made in writing and may be subject to additional charges.
